How to Raise a Query – Dos & Don’ts

At Collingsgate, we are committed to keeping our estate well-maintained and our service charges fair. Every time a resident contacts IV Property Management (IVPM) directly, we are charged an administration fee, which increases the annual estate management costs for everyone. To avoid unnecessary charges and ensure that all issues are properly logged and tracked, all queries and complaints must be raised through the Residents Committee first.

By consolidating issues, we can prevent duplicate charges, ensure stronger case escalation, and improve response times from IVPM.

✅ What Issues Should Be Reported to the Committee?

If an issue affects the communal areas of the estate, report it to the Residents Committee, and we will escalate it to IVPM in a structured and cost-effective way. Examples include:

Broken fences in shared areas
Damaged speed bumps
Faulty or broken streetlights
Overgrown landscaping or unmaintained communal green spaces
Blocked drains or flooding in communal areas
Graffiti or vandalism on estate property

🔹 How to report: Email enquiries@collingsgate.co.uk with details and photos. The committee will log, track, and escalate the issue as needed.

❌ Issues That Should NOT Be Reported to the Committee

Some issues are not within the management company’s responsibility and should be handled directly by residents or the appropriate authorities. These include:

🚫 Neighbour disputes – Please try to resolve issues amicably. If the situation escalates, consider mediation or contact local authorities.

🚫 Fly-tipping – This should be reported to the local council for removal.
*Litter- it is not IVPM's responsibility to clear the rubbish/litter from the roads. Therefore we encourage all residents to take personal responsibility for the area around their properties. However, we are keen to encourage a litter-picking community spirit - watch this space more to follow shortly.

🚫 Parking disputes – If a vehicle is obstructing the road or parked illegally, report it to Leicestershire County Council or local parking enforcement.

🚫 Noise complaints – If a neighbour is causing excessive noise, speak with them first. For ongoing disturbances, report the issue to your local council’s environmental health department.

🚫 Dog/Cat fouling – Pet owners are responsible for cleaning up after their pets. If this is a persistent issue, report it to the local council.

🚫 Individual property issues – Any problems related to your own home, such as boundary fences, driveways, or home repairs, should be handled privately through your builder, landlord, or a contractor.
